How to convert a bank statement PDF to QBO for QuickBooks
The statement is converted first; the QBO file is written from its transactions after you check them.
- Step 1
Upload the statement PDF
Choose one bank or credit card statement of up to 20 pages, digital or scanned. A protected PDF asks for its password, which stays in your browser.
- Step 2
Convert, then choose QBO
After the conversion, open the download menu and choose QBO. Check the columns and the first transactions in the preview.
- Step 3
Import into QuickBooks
Upload the QBO file under Bank transactions in QuickBooks Online, or import it as a Web Connect file in QuickBooks Desktop.
How to import the QBO file into QuickBooks
QBO is the Web Connect file QuickBooks reads for bank and credit card transactions.
- QuickBooks Online: go to Transactions > Bank transactions, choose Upload transactions, select the QBO file and pick the account it belongs to. Review the transactions under For review before adding them.
- QuickBooks Desktop: choose File > Utilities > Import > Web Connect Files, select the QBO file and link it to an existing account.
Import one statement at a time and compare the account balance in QuickBooks with the statement's closing balance afterwards.
Check the columns before you download
Before the file is written, the converter shows which columns it uses for the date, description and amounts, and the first transactions with money out below zero. Statements print amounts in different ways: one signed amount column, separate debit and credit columns, or an amount with Dr and Cr. Change a column or the date order there if a row looks wrong.
- Opening and closing balance lines are left out; only real transactions are written.
- A narration that wraps onto a second line is joined back into one description.
- Choose “Credit card” as the account type for card statements. If charges show up as money in, tick “Reverse signs”.
- Each transaction keeps the same ID every time you convert the statement, so importing it twice is flagged as a duplicate instead of booked twice.
QBO or CSV for QuickBooks?
QuickBooks Online also accepts CSV, but only with three or four columns in its own layout, so most bank exports need editing first. A QBO file is ready to import as it is, and its transaction IDs let QuickBooks skip duplicates if the same statement is imported twice.
Free pages and pricing
The first pages of a statement convert free once a day, and that result downloads in every format, OFX, QFX and QBO included. Converting every page uses credits per page, or a one-time pack with no subscription. Each conversion takes one PDF of up to 20 pages. See pricing.
Other formats
The same converter also writes PDF to OFX and PDF to QFX, and the bank statement converter gives you Excel or CSV. Locked statement? See bank statement passwords.
Frequently asked questions
How do I import a PDF bank statement into QuickBooks?
QuickBooks does not read PDFs. Convert the PDF to a QBO file above, then upload it under Transactions > Bank transactions > Upload transactions in QuickBooks Online, or File > Utilities > Import > Web Connect Files in QuickBooks Desktop.
What is a QBO file?
A QBO file is QuickBooks' Web Connect format: OFX with an Intuit bank ID. It holds each transaction's date, amount, description and an ID QuickBooks uses to skip duplicates.
Is the PDF to QBO converter free?
The first pages of a statement convert free once a day, and that result downloads as QBO too. Converting every page uses credits per page or a one-time pack without a subscription.
Can I use it for credit card statements?
Yes. Choose Credit card as the account type before downloading, and tick Reverse signs if charges come out as money in.
QuickBooks says the file is from an unsupported bank. What now?
QuickBooks Desktop accepts Web Connect files only from banks on its list. Try the OFX or CSV download instead; QuickBooks Online imports both.
Can I import the same statement twice by mistake?
Each transaction keeps the same ID every time the statement is converted, so QuickBooks recognises a second import as duplicates.
