How to convert a scanned PDF to Excel

OCR turns the page images inside the PDF into text and cells; check the numbers against the scan before you use them.

  1. Step 1

    Upload the scanned PDF

Choose one PDF of up to 20 pages. Password-protected scans work too: enter the password when asked, and it stays in your browser.

  2. Step 2

    Convert with OCR

Every page is read with OCR, and a table that runs over several pages is joined into one table with a single header row.

  3. Step 3

    Check and download

Compare totals, dates and a few rows with the scan, then download XLSX, XLS or CSV.

Scanned PDFs need OCR, digital PDFs do not

A digital PDF stores its text, so you can select a word in it; a scanned PDF stores a picture of each page, so there is no text to select. Converters that copy the text layer return an empty or jumbled sheet for scans. OCR reads the page images instead and turns them into text and cells.

This converter reads every PDF this way, so it works the same whether the PDF came from a scanner, a phone scanning app or a printer's “save as PDF”. For a table that continues over several pages, the rows of every page are joined under one header.

Getting a clean result from a scan

  • Scan at 200 to 300 DPI in grayscale. Higher resolutions add file size without improving small digits much.
  • Keep the page straight and flat. Skewed or curled pages are the most common cause of misread numbers and shifted columns.
  • Avoid shadows and coloured highlights over figures; they can hide decimal points and minus signs.
  • Check totals, dates and IDs against the scan. OCR copies what it sees and does not correct or calculate values.

Pages and pricing

Each conversion takes one PDF of up to 20 pages. The first pages can be converted free once a day; converting every page uses credits per page, or a one-time pack with no subscription. See pricing.

Converting a bank statement? The bank statement converter is set up for transaction tables, and the bank statement password page helps open protected statements. To pull a single table out of a longer document, see extract tables from PDF. For digital PDFs and file format options, see the PDF to Excel converter.

Frequently asked questions

How do I convert a scanned PDF to Excel?

Upload the scanned PDF above and convert it. OCR reads the text in each page image and rebuilds the tables as Excel cells, joining a table that continues across pages. Download XLSX or CSV and check important numbers against the scan.

Why does my PDF to Excel converter return an empty sheet?

A scanned PDF holds pictures of pages, not text, so converters that only copy text find nothing. A scanned PDF needs OCR, which this converter always applies.

Can I convert a scanned PDF to Excel for free?

You can convert the first pages of a PDF free once a day to check the result. Converting every page uses credits per page, or a one-time pack without a subscription.

Does OCR work on handwritten or photographed PDFs?

Clear handwriting and phone scans usually work, but accuracy drops with faint ink, shadows and tilted pages. Review handwritten numbers carefully before using them.

Can I convert a scanned PDF to CSV?

Yes. Convert the scan, then choose CSV in the download menu. CSV keeps every value but drops merged cells, which suits databases and import tools.

How many pages can I convert at once?

One PDF of up to 20 pages per conversion. Split a longer PDF into parts and convert each one.

Will the Excel file keep the formatting of the scan?

The converter keeps the table structure, merged header cells and the text as printed. Fonts, colours and page layout are not copied; format the sheet in Excel after checking the data.
