Receipt OCR turns a receipt image into editable data
Receipt OCR is optical character recognition applied to receipts: it reads visible text in a photo or scan and creates a digital draft. Receipt scanning and expense categorization are separate tasks. Recognizing a price does not establish which item it belongs to, whether it includes tax, or whether it is the final total.

Check receipt fields before using the export
Keep the original image beside the result. Review monetary values first, then check how each value relates to its label or row. When scanning multiple receipts, review every export before combining it with the rest of your records.
Merchant and date
Check the store name, transaction date and receipt number. Preserve the printed date before normalizing it; day/month order can be ambiguous.
Line items and discounts
Match descriptions, quantities and prices row by row. Check wrapped names, negative discounts, returns and repeated items.
Tax, tip and total
Distinguish subtotal, tax, tip, amount paid and change. A cash-tendered amount is not the purchase total.
Numbers and currencies
Review decimal separators, currency symbols and leading zeros in item codes. Confirm that Excel has not interpreted an identifier as a date.
Recalculate the visible line items, discounts, taxes and tip using the receipt's own conventions. Treat a mismatch as a review flag. Keep unreadable values marked as uncertain rather than replacing them with a plausible amount.
Prepare screenshots, thermal slips and warehouse receipts
- Phone photos: flatten the slip, capture it squarely, and avoid shadows or glare. Include the entire header and total.
- Thermal paper: photograph faint print before it becomes harder to read. Better exposure may help; OCR cannot reliably recover missing characters.
- Digital receipts: upload the original screenshot instead of a repeatedly compressed copy. For a PDF receipt, save the relevant page as an image first.
- Warehouse receipt OCR: review receipt IDs, quantities, units, item codes and lot numbers. A goods-received document can have a different structure from a retail purchase slip.
Use photo to Excel for general photographed tables or handwriting OCR for handwritten notes. Neither workflow removes the need to check uncertain digits.

The SROIE competition paper separates text localization, recognition and key information extraction. CORD includes Indonesian receipts with OCR annotations and semantic parsing labels. These receipt OCR datasets are useful research resources; their results do not establish accuracy on your merchants, languages or faded paper.
To choose the best AI model for receipt OCR, compare the same real receipt set and count incorrect totals, missing items and correction minutes.
